The ideal candidate will understand the importance of benefits, pay and customer service in our overall business function and purpose. The Payroll/Benefits Administrator is responsible for processing biweekly multistate payroll for exempt and non-exempt staff, ensuring that all payroll changes are properly reflected in the payroll system and the general ledger.  Additionally, this role is responsible for day to day administration of employee benefits, open enrollment, state and local taxes and filings in compliance with government reporting, coordination of annual 401(k) and worker’s compensation audits.  This position will also perform various other tasks including responsibility for Paycom systems administration, Report writing in Paycom, setting up and maintaining codes in the Paycom payroll system, and various administrative duties.

As a Payroll/Benefits Administrator, your duties will include:

Processing Payroll
·       Responsible for accurate and timely entering and processing multi state payroll for exempt and non-exempt employees through PAYCOM Payroll System.  Load and process bonuses, commission and all special payments.  Maintain vacation, holiday, and sick balances in PAYCOM.  Track maternity, paternity and leaves of absence. Ensure all payroll changes have been properly communicated and approved before entering them into the system. 
·       Data management and report writing, run reports and input all employee changes in Paycom. Answer inquiries from employees, vendors, and external companies employment verification data Update FTE’s for allocation. Implements and/or streamlines procedures within the department to facilitate efficient processing of payroll data.  Reviews payroll to ensure accuracy, adjusts errors and handles issues. W2 and 1099 review and reconciliation. Maintain orderly tracking of benefit invoices, employee compensation and deductions, employee paid leave, and personnel file records as needed

Paycom System Administrator
·       Advanced skills in payroll computer systems, including payroll software and time and attendance systems.  Maintains and adds when necessary codes to the software.  Ensures codes match G/L accounts.  Ensures that data is entered correctly.  Works with PAYCOM to maintain timekeeping system; updates and maintains the payroll system functions; and performs related duties as required. Analyze and evaluate work methods, design and implement payroll systems and procedures, ensuring “best practice” policies, work processes and procedures are established.
Administer Employee Benefits
·       Responsible for the daily administration of group benefit programs which include group health, dental, vision, cobra administration, short-term and long-term disability, worker’s compensation, life insurance, travel and accident plan, flexible and HSA spending plans, 401(k) plan,  ensuring employees are enrolled in benefit plans and responding to employee issues or questions on benefits.  Termination of benefits upon employee departures.  Responsible for communicating to outside benefit partners any employee changes.  Reconciliation of benefits invoices against employee records and invoice approval.  Communicating with benefit partners regarding any employee questions or issues. 
·       Assist with implementing new benefits, open enrollment, new employee orientation, onboarding and offboarding  
·       Responsible for design and implementation of benefits in the Paycom system and set up of any new vendor feeds
401k Administration
·       Maintain 401k records, complete information requirements for preparation of annual compliance testing and preparation of Form 5500.
·       Coordinate and prepare documentation for annual 401k and worker’s compensation insurance audits.  Assist auditors with participant testing and reporting.
Government Notifications, Reporting, and Tax Filing
·       Work with PAYCOM and other vendors to confirm all payroll taxes, government filings and or notifications are in compliance and timely completed. 
·       ACA, EEO-1, OFCCP, Non Discrimination Sec 125, S1-550 CA, and 401k

Other Duties
·       Stay up to date on regulations and ensure reporting compliance with Benefits and Payroll
·       Respond to questions and engage in research if you don't know the answer
·       Provide and implement suggestions for improvement to our benefits, payroll and information management workflow
·       Responsible for filing, processing bills, provide back up for HR or Office Manager when needed
·       Participate in the training and/or mentoring programs as assigned or required.
·       Adheres to the Quest Analytics Values and supports a positive company’s culture
·       Responds to the needs and requests of clients/employees and Quest Analytics management in a professional and expedient manner


  • Associate's degree OR 5+ years of Payroll experience in lieu of the degree. Bachelor’s degree in accounting or finance, or human resources preferred. 
  • Minimum of 4 years prior multi-state payroll experience for a mid size or larger company
  • Minimum of 1-2 years benefits administration experience (Health, Dental, Vision, Cobra, STD, LTD, FSA, HSA, Life, 401(k) including government reporting and notifications
  • Prior experience with 401(k) & worker’s comp
  • Strong experience working with Paycom (or similar software).  Payroll systems administrator background strongly preferred.
  • CPP designation preferred, PHR or SHRM-CP a plus.
  • Strong knowledge of report writing is essential
  • Solid understanding of payroll and current payroll tax, and multi state laws is a must.
  • Above average proficiency in Word and Excel.
  • Must have excellent attention to detail and accuracy
  • Must have excellent follow through skills, time management, and organizational skills
  • Strong math aptitude and analysis skills
  • Must have excellent communication and problem-solving skills.
