REPORTS TO: Director of Project Management

ROLE:The primary responsibility of the Project Manager is to manage all client campaigns and projects through the project life cycle, including scoping proposals and timelines, creating estimates, as well as managing budgets and project schedules. The PM works to facilitate consistent communication between the agency’s Creative/Digital/Social and Client Services teams, assuring the on-time delivery of all client campaigns and projects. The PM is responsible for being the agency advocate and effectively managing all client work on-budget, on-time and on-quality (tactical). This role includes consistent and accurate reporting of multiple project status updates, managing on-time delivery of assigned Brown Bag Marketing projects, and keeping the Director of Project Management informed of all project statuses, issues and risks.

RESPONSIBILITIES AND DAY-TO-DAY TASKS:

  • Account On-Boarding:
    • Work with an Account Manager and Program Manager to learn Brown Bag Marketing accounts, relationships, technologies, processes and expectations
    • Work with department Subject Matter Experts to perform estimation of project hours
  • Standards, Process and Systems:
    • Learn the core Brown Bag Marketing internal organization, capabilities and existing delivery approach
    • Update Account Managers regularly
    • Look for ways to improve the tools and processes over time
  • Communication:
    • Demonstrate good judgment when structuring communications with the project team, internal and external client stakeholders
    • Produce progress reports for internal stakeholders to summarize project health
    • Maintain and promote development workspaces as the primary means of communication between the internal and external development team members
    • Facilitate meetings to produce the needed outcomes – this includes any significant client satisfaction feedback
    • Prepare agendas prior to meetings; publish recaps after team meetings (same day)
  • Leadership:
    • Provide leadership to the project team, ensuring they always understand their assigned work tasks, receive rapid answers to their questions, and are kept informed about project progress, any changes in scope, timelines or direction
    • Become the central person people come to for updates, answers and delivery guidance
    • Instill confidence in the delivery resources that you are in control of the project at all times
  • Project Hour, Schedule and Resource Management:
    • Perform estimations on opportunities and new business
    • Set up and maintain project hours, resources and work tasks in the Brown Bag Marketing time entry system
    • Prepare estimates with input from Brown Bag Marketing subject matter experts
    • Perform budget and schedule impact analysis on anything introduced to the project plan, which does not already exist
    • Ensure timesheets are submitted and reflective of the work performed
    • Works with resource management and department leads to process change requests, estimates and proper time allocation as needed throughout the project
    • Produces an end of project hourly summary and retrospective that recaps the monthly activity and explains any areas when unexpected hours were consumed, or describes areas where efficiencies were achieved
    • Reports in the weekly progress report any variance to the schedule
    • Supports resource management participating in the resourcing meetings

REQUIRED QUALIFICATIONS AND SKILLS:

  • 3+ years experience in digital project management
  • Bachelor’s degree
  • Agency/Services experience
  • Knowledge of key concepts throughout system development life cycle methodologies
  • Understand the fundamentals of Project Management
  • Familiarity with project tools and software packages
  • Demonstrate leadership in managing people
  • Rapidly adapt and respond to changes in the environment and priorities
  • Ability to elicit cooperation from senior management and other departments throughout the organization
  • Good verbal and written communication skills, analytical thinking, personal organization and interpersonal dynamics
  • Comfortable in a customer-facing role (customer-service oriented) and possesses a professional and accommodating demeanor
  • Bonus: Working knowledge of JIRA and/or Workamajig
