CIC Tokyo is our newest site and the first located in Asia. Opened in October 2020 in one of the business districts of Minato-ku, CIC Tokyo is a one-of-a-kind innovation-oriented center in Japan with a total area of ​​about 6,000 square meters on the 15th and 16th floors of the Toranomon Hills Business Tower. We provide a vast workspace with the capacity to house more than 250 companies. This position will be the first face and first impression for CIC’s many clients, guests, and vendors. You will join our Community Team to satisfy the day-to-day needs of our clients. Some work will be independent while other work will require collaboration with other members of the CIC staff.
Potential responsibilities will include:
• Overseeing the quality of the front desk experience while demonstrating a spontaneous desire to assist others and provide excellent service.
• Welcoming guests and providing them with a comfortable and efficient transition to their host.
• Interacting with guests and clients, in person, on the phone and via email, in a courteous manner by displaying a pleasant and gracious personality even under stressful situations.
• Being a face of CIC and providing an exceptional first experience for new clients (assist with key distribution, take a photo of new employees, answer questions, etc.)
• Working with other members of the team who are also responsible for the front desk experience, including cross training other staff on how to effectively handle the day to day operations.
• Responding to near constant client requests and questions of every variety. For example, a client may ask "Can I get some extra furniture and have some help rearranging my office?" or "How do I send a package to China?"
• Assisting in processing mail & packages for clients, helping with overseeing the condition and organization of the CIC mailroom.
• Juggling priorities when remaining diligent to clients and within the team.
• Assisting the team with registering their guests in the system.
• Covering operational tasks in the Community Team and beyond as required.

• Ideas driven - you will bring a fresh perspective and new ideas to all aspects of your work.
• A professional communicator, both verbally and in writing.

• A bachelor's degree or equivalent front desk experience and at least 1 year of professional experience.
• A natural interest in helping/supporting others.
• Ability to work between 8 AM and 6 PM, but you will not be expected to work all of these hours every day. 
• Ability to work overtime every now and then to help with event reception support after 6 PM.
• Fluency in Japanese and strong English proficiency.
• The ability to legally work in Japan. CIC is unable to sponsor visas for this role at this time.
• Nice to have: experience in HoReCa industry.

• Employment contract. 
• Starting compensation is ¥4.500,000 gross annually (excluding a holiday allowance).
