About the Role

As the Executive Assistant, you will be the right-hand person to our CEO. You will assist him primarily with maintaining his calendar and scheduling all his meetings to an exceptional level of accuracy and clarity. You will also be responsible for scheduling and hosting company-wide meetings and board meetings. DataCamp has offices in three different time zones with customers all over the world, you need to be a whiz at calculating time differences quickly and accurately. You will also assist other members of the Leadership team (COO, CTO, CRO, GM B2C, CPO etc.) on an ad-hoc basis with scheduling and other projects. You bring unparalleled levels of professionalism, discretion, organization, and drive to everything you do. Your ability to improvise and willingness to take on new responsibilities in proactive ways will be keys to your success in this role. 

 

Responsibilities

  • Own the CEO’s calendar. Schedule all meetings with employees, clients, candidates, and others through email, Slack, and phone correspondence. Ensure all conflicts all resolved well in advance.
  • Schedule and host company-wide meetings and board meetings and their related Q&A sessions.
  • Ensure company-wide OKR scores are delivered to the CEO on schedule.
  • Schedule and purchase tickets for the CEO’s travel.
  • Be generally available and reachable after business hours to the CEO.
  • Help draft memos and correspondence.
  • Record minutes and key takeaways of leadership meetings.
  • Work with the People team to create and disseminate employee gifts.
  • Work with the People team to schedule, plan, and execute special employee events.
  • Serve as a role model for employees on how to communicate professionally and efficiently over Slack, email, phone, and in-person.
  • Assist other members of Leadership teams with scheduling and other miscellaneous projects on an ad-hoc basis at the discretion of the CEO.

What we’re looking for

This position is ideal for a highly organized and adept communicator who comes from a background of accomplishment and excellence.

  • 7+ years of office or administrative experience.
  • 5+ years as an Executive Assistant to a CEO or other C-level ranking.
  • 2+ years experience at a technology company. Experience in education is also a plus.
  • Flexible work schedule, available 7 days a week.
  • Highly skilled with Google Workspace and Microsoft Office especially Docs/Word and Slides/PowerPoint. Experience with Slack and Adobe Suite. Skills with any other software/technology are a plus.
  • Adept with computers and AV equipment in general
  • Exceptional command of English, both written and verbal. Excels at public speaking with a clear phone voice and affable demeanor. Fast typing (>60 wpm). Bilingual is definitely a plus (especially French and Dutch).
  • Unparalleled organizational and time management skills with the ability to prioritize disparate tasks.
  • A proactive work ethic that anticipates and solves problems before they arise.
  • A collaborative mindset - you know when to push back, challenge an idea, and seek out a compromise, and do so positively and for the benefit of the team and the company.
  • A creative spirit - you like to invent non-traditional solutions for new problems and genuinely enjoy trip and event planning.
  • Comfortable giving and receiving constructive feedback.
  • Lives in the New York City area. Candidates in London may also be considered.
