Who’ll You Be Joining: 

ecobee’s in-house creative team prides itself in developing brand and product marketing communication experiences that put the customer first.

We are looking for a Creative Operations Leader from a strong creative background to join our Design and Experience team (theDX). This Creative Ops leader at ecobee will create and administer the team budget, allocate resources to new projects, oversee project management, and interface with Brand Managers outside the DX. Critically, this person will handle the core conversations needed to maintain strong relationships with our stakeholders. This leader is a key hire because their energy and skill will open up our creative team to energetically pursue their creative vision.

As a business-minded leader within the DX, you will create and administer the budget, assign creative resources to projects, and balance the project load across resources. Understanding how our internal creative capacity relates to our incoming projects is core to this challenge.

You’ll be an integral member of the in-house creative team’s leadership within Marketing and will be the lead communicator between Creative and our Brand Managers. With your nuts & bolts understanding of how to structure and staff creative projects, you will track milestones and make staffing adjustments as projects and schedules shift. You will have proficiency in Microsoft Project and Asana, but you will also bring your own toolbox and help us build-out a new “ecobee approach” to creative operations based on your understanding of best practices.

The Senior Manager of Creative Operations leads projects through the production and approval process, from production kickoff until files are released to the venders. Aware at all times of the status of assigned jobs they are accountable for schedules and facilitating them through to on-time completion. Effectively problem solving with a broad range of internal and external partners will be key, when issues arise in the production process. Maintains up to date information on their projects in Asana (e.g., changing schedules, routing progress, etc) and provides timely status updates. Leads most kick-off meetings where approved Project Briefs are passed to/discussed with Graphic Designers, Art Directors and Copywriters, etc. Leads the process of prioritizing work with department Brand Managers.


How You'll Make an Impact: 

  • Partner with Project Management and Account Management to manage the production phase of projects. Lead the process of identifying Stakeholders and maintaining contact throughout.
  • Collaborate to revise production timing, ensure mutual understanding of key milestones.
  • Identify challenges/risks and identify process improvement opportunities
  • Manage projects through production as the established "go to" person on progress and status. Ensure projects are updated in Asana as milestones are met.
  • Ensure partners are accounted for and input received promptly when routing creative assets.
  • Participate in weekly status meetings with primary team to ensure everyone is aware of where production phase projects are for near-term deliverables. Holds the authoritative overview.
  • Call out scheduling, resourcing, or other issues well in advance and offer up creative solutions for addressing them.
  • Ensure the team is aware of timing implications on requested changes and proactively communicate to all impacted partners.
  • Ensure all Stakeholders and Execs have time to review/approve assets; builds-in the time.
  • Responsible for establishing our process and methodology for project management of all design and creative deliverables.
  • Work closely with art directors, graphic designers, content designers and writers to orient them within your chosen system of project and deliverables tracking.
  • Establish Work Back Schedule (WBS) process and communicate standards/templates for Creative schedules.
  • With the Project Managers and Product Marketing Managers elsewhere in the org, to organize feedback sessions. First establish and then enforce a workable feedback process/Rules of Engagement between Creative and Stakeholders.
  • Works with other teams such as Product and Engineering to understand our products, services, and business objectives. Applies our business objectives to prioritize work and push back when project grow out of proportion compared with their expected business impact.
  • Reach out to Product and Research so as to develop an understand the customer value of the technology we are creating.
  • Develop a scorecard: creative team should know how they are collectively performing.
  • Manage a small group of ~2 Project Managers; represents the function of Design/Creative Operations at ecobee.

What You’ll Bring to the Table:

  • 8+ years in Program Management with increasing responsibility and span of influence.
  • Proven leadership and direct management experience of Project Managers and Producers.
  • Experience creating a process for collaborative Creative Development based on best practices and the latest tools and methods.
  • A creative and collaborative thinker capable of balancing competing deadlines.
  • Strong Communication skills and demonstrated history of building relationships across groups. Able to flex between speaking in technical settings and creative groups.
  • Experienced working in-house or, if from an agency background, working on longer term accounts. In either case, being accustomed to the frequent pivots of the tech world is a plus.
  • Previous experience with consumer brands and a passion for technology.
  • Just so you know: Our hired candidate will be required to provide consent to complete a criminal background check.
  • Ability to lead a high volume of projects once they move into production, managing the details and timelines through to delivery.
  • Have a background managing visual deliverables as well as copywriting projects, so as to lead in scoping projects on both sides of the team.
  • Skill building detailed schedules and set deadlines for various stages of all projects, in conjunction with your Project Managers.
  • Distribute assignments to creative teams and other departments, depending on their availability and priorities.
  • Active Listener: role will meet with clients to learn more about new project details and give progress updates on existing projects, communicating any issues.
  • Monitor projects and workloads, adjusting assignments and deadlines accordingly.
  • Create and maintain the department budget, track burn-rate and align with accounting.
  • Work with freelancers and contractors and ensure they have the resources they need.
  • The ability to multitask, organize and collaborate. You will juggle a wide variety of requests from clients with competing deadlines and limited resources. Strong decision-making and prioritization are essential to make sure everything runs smoothly, and it is important to be as organized as possible to schedule, monitor and adjust deadlines and resources as needed.
  • Additional skills required include time-management, an eye for detail and problem-solving skills. Proficiency with Excel and project management software is also important.

About ecobee

Why ecobee was born Before founding ecobee in 2007, Stuart Lombard was on a mission to reduce his family’s carbon footprint and save money. He found a lot of ways to conserve energy but most were complex and costly. However, he discovered that heating and cooling made up the majority of his home energy use. So, he tried a programmable thermostat. It turned out to be really complicated, even for someone with an engineering degree. And, unreliable. When Stuart and his family came home one winter day to find their house freezing, they'd had enough. He knew there had to be a better way and decided to build his own thermostat. A truly smart thermostat, that was easy to install, smart enough to deliver comfort, conserving energy and pay for itself in energy savings. That day, ecobee was born.
