We're looking for an experienced Office Assistant to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensure the smooth running of the office and help to improve company procedures and day-to-day operations.



  • Serve as the point person for office manager duties including:
    • Maintenance
    • Mailing
    • Supplies & equipment
    • Invoices
    • Errands
    • Purchases
  • Manage office needs.
  • Greet visitors and make their visit great.
  • Assist with coordination of conference room setups, mail and overnight carrier shipping and general office administration.
  • Maintain the office condition and arrange necessary repairs.
  • Manage our different suppliers making orders to make sure we are stocked with all that is needed for a smooth life at the office (kitchen, office etc.).
  • Support on implementing new projects to benefit overall office workflow.
  • Support on coordinating events, parties and meetings.
  • Support in organizing office operations and procedures.


  • Excellent written and spoken English and Spanish.
  • High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus.
  • Administrative experience (start-up or smaller company preferred).
  • Highly collaborative style, able to work well with all other teams and employees.
  • Well organized and able to handle multi-tasking in a busy environment.
  • Attention to detail and problem solving skills.
  • Self-starter, able to work independently.
  • Good disposition and friendly manner.
  • Dynamic and proactive person.
  • Excellent writing/editing and verbal communication skills.
  • Proficiency in MS Office.
  • Familiarity with email scheduling and digital tools.
