Executive Assistant (User Experience)

Seeking a solutions oriented Executive Assistant to report to the Executive Creative Director of User Experience Design. In this role you will be expected to provide extensive executive administrative support to the Senior Director and general support to the UX Team.  Critical to your success will be your superior communication skills, excellent judgment, flexibility and fluidity, and attention to detail—from the mundane to the more strategic. We are looking for someone who can take on a wide range of administrative support tasks that include (but are not limited to): heavy scheduling and calendar management, travel coordination and logistics, communication to management and company, etc. This role will also take on special projects such as: budget management, contract management, coordinating team off-sites, and several other additional ad hoc projects.

RESPONSIBILITIES

  • Manage executive’s calendar and meetings independently across international timelines. This includes developing an understanding of organizational priorities, challenges, and stakeholders across the organization to proactively and independently manage the Sr. Director’s calendar.
  • Supports UX Design Team with vendor management lifecycle from contract initiation to purchase order processing. This includes liaising with the Sony Legal Team using Sony’s Salesforce application and the Procurement Department using the Systems Resource Management System (SRM). This also includes completing a vendor processing check list and gathering vendor payment details.
  • Plan, host, and organize internal meetings, including agenda, invitees and catering. Plan and execute twice yearly offsite meeting for UX Design Team, including venue sourcing, contracts, budgeting, menu planning and entertainment.
  • Compile and process expense reports in a timely manner for the Executive.
  • Create, track, and update organization/team related projects and documents on a monthly basis as assigned (i.e.: organizational charts, team phone lists, etc.)
  • Serve as a helpful knowledge base for staff within the department, especially for process and procedures, and provide assistance in a hands-on, proactive manner.
  • Support office space planning needs as growth occurs within team and work closely with hiring managers, and the facilities team to make necessary adjustments.
  • On-boarding for new team members that report to the Sr. Director. You will coordinate contracts (if needed), identify work stations, order equipment, software, and system access from the IT department, and provide calendar for first day on the job.

QUALIFICATIONS

  • Communication and Contact: Communicates effectively both verbally and in writing with superiors, colleagues, and individuals inside and outside the Company.
  • Relationships with Others: Works collaboratively and effectively with senior executives, colleagues, and individuals inside and outside of the company; capable of bringing people together.
  • Global Interaction: Ability to efficiently manage complex schedules across multiple time zones and to coordinate smoothly in various cultural settings.
  • Strong analytical and critical thinking skills.

EDUCATION & WORK EXPERIENCE

  • An Associate’s degree or equivalent
  • 5+ years of administrative or relevant work experience
  • Proficiency in Microsoft Office Suite, Confluence, and Concur
  • Strong communication skills, both written and oral
  • Process-oriented, with attention to detail and ability to multi-task
  • Ability to work in a fast-paced environment
  • Ability to work independently on difficult projects with minimal supervision
  • Ability to maintain a high degree of confidentiality/discretion
  • Strong interpersonal skills, with a friendly, outgoing, and flexible manner
  • An interest in interactive entertainment/gaming industry
