The new Agent On-Board Specialist will be a critical member of a team responsible for ensuring that all new agents are carefully navigated through our comprehensive brokerage on-boarding flow according to the procedures and processes. This role is critical in ensuring each agent has the best experience joining WeWork Brokerage - paving the way to allow for things to run smoothly.
Reporting to the Director of Operations, the On-Board Specialist will be a critical member of the sales and operations team. As we are a high-touch, and customer-driven division, attention to detail, passion for perfection, and pride in your work will be the three key values that you bring to your position.
Overview of Expectations
Immediate / Start up Responsibilities
Work with Operations Director (OD) to establish clear SOPs for each component of the Agent On Boarding (AOB) Checklist (Registration, Technology, Operations, Training, Sales)
Design all AOB forms
Set up AOB tracking systems in SFDC
Work with OD to update any Forms and Agreements after legal review and approval
Prepare complete AOB Packages (includes all forms, documents)
Work with OD to establish profiles for standard laptop configurations
Work with OD to establish standard profiles and settings for all web applications
Work with OD to write and coordinate training content and presentations for technology, Forms/Agreements, Applications, Expectations for Sales Meetings
Work with OD to set up Business Development Systems in SFDC
Work with OD to establish relationships with Key WW on-boarding points of contact to streamline process (HR, IT, Accounting, etc.)
Work with Marketing Specialist to design Bio template, Email Announcement, PR, etc.
Work with OD to set up Ring Central Accounts
Manage On-Boarding Process
Commit to thoroughly understanding every facet of our Brokerage On-Boarding plan (Technology, Operations, Marketing, Training, Sales)
Be a key liaison that can work cross-departmentally with the many areas within WeWork which allows us to get things accomplished.
Track all steps of the on-board process in Salesforce.com
Coordinate the simultaneous on-boarding of all sales agents while attending to any unique situations that may arise during the process.
Act as a key ‘face’ of the agent hiring process; recognizing that a high-touch and customer service approach is needed.
Partner with the Operations Specialist to provide general support as needed.
3-4 years minimum operations experience
Organized and detail-oriented
Ability to solve problems with innovative thinking
Strong generalist -- highly competent with the ability to wear many hats
Skilled at relationship building
Highly flexible and adaptable to continuous change and growth
Excellent communicator, verbal and written
Excellent interpersonal skills
Customer service experience required
